SES Company User Roles Matrix

Any given user in SES will have at least one Account Type User Role. In addition, a user may have a designation that grants them other abilities or limits them.

Introduction

Any users are assigned to a Supervisory Activity will have an additional role that is specific to that SA. The attached document outlines each of these three categories (Account Type User Roles, Supervisory Activity Specific User Roles, and Additional SES User Designations).

System Level Account Type User Roles

These roles are assigned at the SES system level, typically do not change, and do not indicate the user is active in a specific supervisory activity.

Account Administrator Leader Contributor
Description This role is responsible for managing the company profile and user accounts. Assigns the Company Lead for SAs and the Company POC for consumer complaints. This role identifies a user account as being eligible to be assigned as a Company Lead to a specific supervisory activity. This role identifies a user account as being eligible to be assigned as a Contributor to a specific supervisory activity.

  • 1-3 Account Administrators per company
  • Call Center may unlock user account
  • User must be a Leader to be assigned as a Company Lead on an SA

Consumer Complaints Role

This role is assigned by the Account Administrator and provides users access to specific features and tools.

  • All users with the same permissions (View or Manage Complaints) have the same access to complaints, unless they are assigned a Complaint Specific User Role (i.e. Company POC)

Supervisory Activity Specific User Roles

These roles are assigned at the exam/supervisory activity level, frequently change by exam, and indicate what the user can do in a specific supervisory activity.

Company Lead Contributor Coordinator Third Party
Description This role is responsible for managing the company’s participation in the SA. This role supports the Company Lead in completing the tasks outlined in the SA. This role helps manage the company’s participation in the SA. This role can only be assigned to users assigned the Third Party role in the system and supports the Company Lead in completing the tasks outlined in the SA.

  • Required role and is the main point of contact with the Agency about the SA

Optional role not required for the company to successfully complete the SA.

  • Role can be assigned to a Third Party User
Third party users can be added at the system level by the company account administrator. This is an optional role that is not required for the company to successfully complete the SA.

Complaint Specific User Roles

This role is assigned only to an individual at the complaints level and may frequently change by complaint.

Note: Only the account administrators at a company can add and manage other company users.

Complaints Company POC
Description The Complaints Company POC is the individual responsible for sending complaint IR responses to the agency. This person can also review and update responses drafted by other complaints users.

  • Main point of contact with the Agency POC on the complaint
  • Role is required for the processing of the complaint by the company
  • Communicates with Agency
  • Actively involved in Complaint

  • Complaints Contact
  • Reassigned by Complaints Contact, Account Administrator, and current Company POC
  • User must first be assigned a Consumer Complaints role

Additional SES User Designations

These designations identify additional responsibilities or limitations given to a SA Specific User Role. The designation is made at the system level and may or may not indicate an active role in a specific supervisory activity or complaint.

Description User receives the initial notification of an SA from the Agency and is responsible for managing the Company Lead assigned to an SA. The Company Complaints Contact is the user who received the initial notification of a new Complaint in SES and is responsible for managing the Company POC assigned to the Complaint.
