Closing and Locking a Supervisory Activity

After the examiner in charge (EIC) completes the close out information and marks the report response complete for a supervisory activity (SA), it can be closed and locked from further updates by the participants on the SA.

About this task

Important: Once the SA is locked, the company can respond to matters requiring attention, but changes to the supervisory activity cannot be made.
Note: Only staff users from the lead agency assigned as a participant on the SA can close and lock an SA. The close out information must be completed and the report response from the company must be marked complete by the EIC to be able to close and lock an SA.

Procedure

  1. Navigate to your supervisory activity.

  2. Click Close and Lock on the Summary or Close Out tabs.

  3. Select whether to notify the company or suspend document retention.
    Note: When closing and locking an exam, you have the option to suspend document retention on the SA. This may be done for legal, investigative hold, or other purposes. Suspension will remain in effect until lifted by your agency. Your agency will receive periodic reminders of all suspended SAs. See the Record Retention and Disposition Schedule for more information.
  4. Add any comments or closure documents for the company.
    Note: If you add documents, you must confirm that they are the final versions of the closure documents you want sent to the company. You cannot make changes after closing and locking the supervisory activity.

  5. Click Close and Lock.

Results

Important: Once the SA is locked, the company can respond to matters requiring attention, but changes to the supervisory activity cannot be made.

If you added comments or closure documents, they can be viewed on the Close Out tab for the supervisory activity.
